Fly-In Planning Meeting Minutes
January 30, 2008

Mueller Aero Hangar, Prairie du Sac, WI

David Lukens opened the meeting at 5:30 p.m.

Special guest Don Ladd (cell 544-5233) from the Sauk Prairie Historical Society, who organized and runs their spring and summer Farmer’s Market was in attendance as a guest.

Agreed On

• The Fly-In breakfast will run from 7 until 11 a.m., contingent on Pat O’Malley’s availability.  David Landsverk will communicate with Pat.
• Lunch will run from 11 a.m. until 3 p.m.
• Ice cream and soda/water sales will run the duration of the event.
• There will be no beer garden for the 2008 event.
• Colors to be used for the invitations, signage, raffle tickets, etc: navy blue and gold ink on white.
• Bob Henry will once again run the classic vehicle show.
• We will print 5,000 raffle tickets only.  Raffle ticket sellers will be limited as to how many tickets they can take to sell at a time.
• Need to have cigarette receptacles scattered all over the grounds.
• We do not need to hire Sauk County Sheriff’s deputies to help patrol the grounds this year.  We can use Mueller Security and 911 if needed.
• We need to alter the community focus from ‘free’ to ‘fundraiser’.
• Our marketplace booths will be 15’ X 30’ and $25.00 per booth.  All military groups will not be charged booth fees.  No food or drinks to be sold at the Marketplace.  All food and drink will be sold by Sauk Prairie Airport, Inc.
• The number of toilets and sanitary stations can be reduced this year since there is no beer tent.
• No trailers or large vehicles are allowed on the grass.

Proposed

• Don Ladd and Curt Mueller recommend we recruit the Dome’s to organize the Marketplace (they run the Farmer’s Market very well).  Market set-up can begin on Friday evening or early Saturday morning.
• The petting zoo was a great success last year – do we have free to draw in families, or manage/corral better and take tickets?
• Can Bill Klinkner provide D.J. services vs. hiring bands?  Where will music come from?  Can Bill hook up personal iPods to his equipment?
• We plan to format a corporate sponsorship letter to circulate to businesses in the community with a focus on fundraising.  We can also post sponsors at the current SP Airport website and on banners at the event.
• Much less fencing will be needed this year.  Parking, flight line, vehicle show, and petting zoo (possibly) only.
• It was asked if could have an ‘Oasis’ tent somewhere on the grounds for shelter.
• It was asked if we should request donations from those participating in the vehicle show.
• We should have donated items on-site to stimulate raffle ticket sales.
• If we order soda through Sentry again this year, would they also donate plastic bags for kids to carry their prizes in?
• Once new Walgreen’s is open for business, we should propose a brat stand in their parking lot to raise money and awareness of the Fly-In event.

Problems to Correct in 2008

• Must have permission to set up/post/hand signage.

Advertising/Visibility Suggestions from Curt

• Robin Bromley should work with Heather Buchholz at Mueller Sports Medicine to format the sponsorship letter and to create a logo form Fly-In Fundraiser and Fly-In Marketplace.  (Perhaps they can come up with alternate wording for ‘fundraiser’.)
• Curt would like a fundraising/debt reduction billboard-type of signage that can be posted at the airport showing funds needed to raise.  In the future, this signage could have an FBO added.

Responsibilities Agreed Upon

• Linda Wiedenfeld will again take change of all money handlers and the raffle.
• Steve Arnold will layout the booth spaces for the Marketplace.
• Keith B. /Mueller Maintenance will layout and erect fencing, picnic table, etc.
• Keith B. & Dave Lukens will team up again in the community to sell raffle tickets.
