Board of Director's Meeting
June 1, 2006

Those in attendance were Dave Lukens, Dave Landsverk, Nick Lester, Linda Wiedenfeld, Bill Ireland, Steve Arnold, Bill McFarland, Donna McFarland, Bob Henry, Lori Henry, Roger Thistle, Jim Kazmierczak, Virgil Schulenburg, Cheryl Carroll, Scott Carroll, Ed Miller, Cory Noltner, Brian Hansen, Sharon Barrett, Officer Stoddard, Steve McDuff and Ron Lins.
Officer Stoddard, from the Sauk County Police Department was present. They will have one or two officers at both the entrance and exit on Hwy 12 all day. He stated that there will be a right turn only at the exit and requested we have a sign made. He suggested a sign at Cnty Z directing people toward Madison. Cory Noltner will handle communication with the Sheriff’s Department. Sharon stated that they have over a hundred signs made for the event, including “no parking” for PF and other areas. Signs on Hwy 12 from both directions will alert traffic to slow down. The Civil Air Patrol will manage the airport entrance from PF and allow pilots and hanger owners only. The Sheriff’s Dept will drop off their “No Parking” signs at Mueller’s to be posted on Hwy 12. Teschs should be contacted to post no parking on their property. Back up parking will be on Quench Drive if we fill the anticipated 800-900 spots planned. Virgil Schulenburg said the Harley group will control and direct the traffic on the grounds. The exit area on the north end to Hwy 12 has been approved and will be redone with asphalt. Motorcycles will be parked at Mueller’s and shuttle vehicles will transport people to the grounds. Shuttle service will also be provided from the hangers to the grounds. Kelly’s parking lot is available for drop off after noon. Kayser’s will offer two vans for shuttle and Mueller’s has vans and vehicles for shuttle service.
The sale of raffle tickets was discussed. Some deposits have been made and Jim Kazmierczak reported invoices have been coming in and will be paid. We have about $11,000.00 available at this time. All SPA members received raffle tickets by mail and several picked them up. They can sell the additional ones or return them.
The car show, tractor show, cycle show and aircraft displays were discussed. It was decided that we will not intermingle the displays. Each display will have a viewers choice award planned by their group. Plaques, trophies and appreciation awards will be given. There is no admission charge to display in the show. Bob Henry has been contacted by Ballwegs to display two new vehicles. It was agreed to allow the new cars this year and decide how to handle this for future shows.
The Public Library system requested a table for handing out book marks for children. They would like to participate next year with a story time for children on aviation and a list of books for all ages available at the libraries.
Sharon will have a table in the hanger where volunteers pick up the orange vests and sign them in and out at each shift. Shifts will be for three hours during the day and many of the openings have been filled. The volunteers that are selling raffle tickets will help Sharon with the volunteer registration and vests. Bottled water will be available at no charge for the volunteers. Children will be allowed to volunteer but not in selected areas that involve safety or the beer tent area. They are needed for grounds clean up and clearing tables.
Food and beer prices have been established and were discussed. Sharon will forward the pricing to Jim Kaz.
Advertising and promotion stories have appeared in the local papers.
Airplane parking was discussed in detail at the meeting and reviewed with Curt and Bill McFarland on Sunday June 4th. Aircraft coming to the EAA breakfast will be parked in the existing tie down area and west of the runway. Lynn Erickson’s hanger south to the east/west taxiway that connects to the runway is also available. Keith: the orange snow fence should run from the north/east corner of Dr. Kelly’s dog fence the full length and parallel to the runway with a five foot wide access opening in approximately the center of the runway. Aircraft pilots and passengers wishing to stay for the Fly In festivities can leave their aircraft where it is parked, depending on how many aircraft show up. Shuttle service to and from the festivities will be provided from the tie down area only. Keeping in mind, SAFETY FIRST, there will be an orange snow fence erected to the west of, and the full length of the runway with a pilot/passenger ONLY opening. This opening will be guarded by volunteers at all times. People using this opening will be given a pass tag to identify them so they can return to their aircraft when leaving. No shuttle service will be provided for aircraft parking in this area. The general public attending the festivities will NOT be allowed access thru the orange fence for safety purposes. This accomplishes multiple goals: 1) SAFETY. 2) It allows the general public attendees to view aircraft. 3) It protects the aircraft from people touching or climbing on them. (Look Only). 4) It is the easiest way to control aircraft parking. (Hopefully we will learn more for next year.) Bill M. requests that each runway light be marked with a 3-4 ft high wooden stake with a yellow caution tape at the top for easy pilot recognition.
There will be a meeting on Monday, June 5th at 7pm at the Prairie du Sac Town Hall for election of officers and directors for the Sauk Prairie Airport, Inc. All members are encouraged to attend as there are several openings.
The next Fly-In meeting will be on site at Curt’s hanger Thursday, June 15, 2006 at 7 PM. The area should be all staked out and we will be able to see where all the displays will be.
